The International Group of P&I Clubs (‘the Group’) is an unincorporated association of the twelve member P&I Clubs.

2  The type of personal information we collect

We currently collect and process data subjects’ names, contact details (including phone numbers, postal and/or email-addresses), dates and places of birth, and professional titles. 


3 How we get the personal information and why we have it

Most of the information we process is provided to us directly either by the twelve P&I Clubs, directly from individuals or by other industry organisations with whom we interact during the ordinary course of business.
We use the information given to us in order to further the policy objectives of the Group, including for the purpose of relationship development and management.
We have a legitimate interest in processing this information.


4 How we store your personal information

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions, and as agreed by you, and they are subject to a duty of confidentiality. 
We only keep your personal data for as long as necessary to fulfil the purposes we collected it for.  The length of retention depends on our obligations to the data subjects, any statutory or regulatory requirements, to evidence events/agreements in case of disputes, and the need to meet our operational requirements. We will delete any electronic records within this period.

5 Your data protection rights

Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
